| Hire Charges for Sports Club Facilities, 2008 All Meetings, Fixtures, Events of any kind, by any section, outside body or individual, must be booked in the Central Diary behind the Bar with the Steward. Section hiring will not carry a charge for their Events such as Fundraising Nights, Sports Fixtures, Social Nights, Annual Dinners etc. except where Outside Caterers are used, more than normal cleaning is required or more than normal staffing is needed. Any Bone Fide Club Section may use the Meeting Room Free of charge. Unless agreed otherwise meetings can only be held in the Meeting Room or a Sections own Changing Room. General Hiring A Deposit of £50.00 is required against all Bookings. Bookings are not accepted from Non Members. The Sports Club does not except Bookings for Birthday Parties from 11 to 30 Years Inclusive or Engagement parties for couples under 30. We do not consider ourselves to be a suitable Venue. Parties for children under 11 are only accepted with provisos. Namely a cash deposit of £100 against damage and for cleaning etc. This is refundable 3 days after event if there are no problems. Booking Procedure The Sports Club Steward will decide whether a booking is accepted or not, based on other booked Events and fixtures, the aims and reputation of the Club and the suitability of the Club for any Particular Booking. A Booking can be literally pencilled in the Diary. When you pay a deposit the booking is penned in and it’s definite. If another person wants the same date as you have asked for, you will be asked to confirm your booking by paying your deposit or the booking will be open to the other Person. Second Party bookings will not be allowed. For example you cannot book a party for someone else, You must be a member to book the club and take full responsibility for you guests and their actions. If any problem arises, your membership could be at risk. Proof of Section membership will be required. If this is not proved we are breaking one of the Rules of being a Private Members Club. Use of Club by Club Members during a booked Event Whilst a booking is taking place on Club premises their will always be an area for members who are not part of the booked Event to use to obtain refreshment. This area will be designated by the Club Steward and may not always have the full facilities normally available. The use of Outside Caterers • Deposit of £50.00 against Cleaning, Breakages, Use of Consumables Etc. A letter confirming acceptance of the above together with the deposit and expected charges is required 2 weeks prior to the Event taking place. N.B Our first use is always for our sports sections. On occasions, self-catered events are not accepted if we already using the facilities. Use of External Entertainment Providers Subject to the current Licensing Act we have to monitor noise levels to ensure not to upset our neighbours. Some events involving live bands may not be accepted due to concerns about high noise levels. Staffing As a matter of Health & Safety and Security. When a Function of any kind is taking place, Sports Club Staff will be on the premises. If this means that there is an extra wages cost to the Sports Club, this will be chargeable to the Event. Depending on the type or size of Event you may be asked to pay the cost of Doorperson/s. Discounts/ Special Rates Discount Rates are available for a series of bookings or multiple bookings and can be discussed with the Steward. There are also Special Rates available for Fundraising Events and use by Charity Organisations. Further Information is available through the Steward at the Club.
